Quote & Proposal Tools
AI quote assistants, proposal builders, package generators, and pricing helpers that turn a one-line request into a draft your sales team can send.
GearOps.ai finds the workflows costing your rental and production business time, money, and margin — then builds practical AI tools to fix them. With a focus on measurable ROI as quickly as 90 days.
You already know where the leaks are. Quotes that take a day. Follow-up that depends on memory. Inventory that's a Frankenstein of spreadsheets and tribal knowledge. SOPs that live in two people's heads. Marketing that goes silent for weeks. The owner still answering the same questions.
Salespeople copy-paste old proposals, hunt for prices, and re-do the same package math every week.
Open quotes sit. Hot leads cool off. Nobody can tell you which proposals actually need a nudge.
Categories, model numbers, accessories, kit lists — incomplete in some places, duplicated in others.
Sourcing missing items from sub-rental partners eats hours of phone calls and email threads every month.
The way things actually get done lives in people's heads, not in your systems. Training new hires is slow.
Newsletter, social, case studies — they all stall the moment your team gets busy on a real show.
Numbers live in your rental software, your accounting tool, a stack of sheets, and your CRM. Nothing talks.
The owner or GM is still answering the same operational questions ten times a week. That's a tax on growth.
No 6-month consulting engagement. No abstract "AI strategy" deck. One focused, productized sprint, built around your actual workflows — and a scorecard you sign before we build.
30-minute call to understand your shop, your team, your tooling, and where the pain actually is.
We map your quoting, sales, inventory, dispatch, marketing, and admin workflows, end to end.
We rank the leaks by recoverable value and pick the builds most likely to deliver meaningful, measurable value fast.
We build, integrate, and ship the AI tools, automations, and lightweight apps your team actually needs.
We measure the agreed metrics for 90 days and report back. If we can't reasonably show the value, the fee is refundable on agreed terms.
Each engagement is scoped from the highest-ROI opportunities we find. Not every tool below ships in every sprint — these are the categories we build from.
AI quote assistants, proposal builders, package generators, and pricing helpers that turn a one-line request into a draft your sales team can send.
Inventory cleanup assistants, product matching, kit and accessory mapping, normalized model data, and pull-list helpers that fix years of messy data.
Follow-up agents, stale-quote alerts, AI-drafted nudge emails, and workflow logic that makes sure no warm lead gets dropped because someone got busy.
Content engines, newsletter assistants, case-study generators, social schedulers, and AI-drafted email sequences pulled directly from your real project work.
SOP builders, AI knowledge assistants, and staff-facing chatbots that answer "how do we usually do this?" so leadership stops being the company's search engine.
Job profitability trackers, sales pipeline visibility, dispatch dashboards, and ops scorecards that pull from the systems you already use.
Make, Zapier, n8n, HubSpot, and CRM workflows that wire your existing systems together — so data flows without anyone copy-pasting.
Customer inquiry response agents, voice-agent intake, internal staff assistants, training assistants, and lightweight web apps with AI under the hood.
A clean, predictable engagement. No scope creep, no open-ended retainer.
30 minutes on Roam. We talk through your business, your stack, your team, and the workflows that frustrate you most. No pitch deck.
You give us limited, secure access to the relevant systems and a few real examples (quotes, inventory, threads). We diagnose where the time and money is going.
We rank opportunities by recoverable value and propose the 1–3 tools we'll ship inside the sprint. You approve the scope and the ROI scorecard.
We build the tools, integrate them with your stack, and train your team to use them. Weekly stand-ups, working software, no slideware.
We instrument the agreed scorecard metrics, check in at 30/60/90 days, and tune what we built. You see the value in numbers, not adjectives.
Our goal is simple: identify and build practical AI tools that produce measurable operational value, with ROI tracked over 90 days against a scorecard you and we agree on before we build.
That scorecard might include time saved, faster quoting, better follow-up, reduced admin work, increased output, improved collections, better reporting, or other measurable business outcomes — whatever actually moves the needle in your shop.
If we can't reasonably demonstrate the agreed value at the end of the measurement window, the fee is refundable on agreed terms — provided your team completed the agreed participation, data-sharing, and usage requirements. We'd rather be paid for value than for hours.

GearOps.ai is built by Marcel Fairbairn — founder of GearSource, GearShare, GearNet, and Geezer Media Group — alongside CTO Stephan Peralta, who has held product leadership roles at multiple AI companies and spent his career building real software.
Between us, that's decades of marketplace, rental, production, and workflow experience inside the live events equipment industry — paired with deep AI product chops. We know what a pull list looks like, why your salespeople hate the CRM, and which "AI tools" are actually worth your time.
Live events rental and production companies — sound, lighting, video, staging, full-service production, touring vendors, corporate AV, and regional production houses. Sweet spot is roughly $3M–$50M in annual revenue, but we work with smaller and larger companies when the fit is right.
Workflow diagnosis, an agreed ROI scorecard, the 7-day build and delivery sprint (1–3 practical AI tools, scoped from the highest-ROI opportunities), integration with your existing stack, training and documentation for your team, and 30/60/90-day ROI tracking.
30 minutes on Roam. We talk through your business — what you rent, who your customers are, where your team spends time, what tools you use, and what's frustrating you. We share an honest read on whether a sprint makes sense for you. No deck, no pitch.
AI quote assistants, proposal builders, inventory cleanup, product matching, follow-up automation, customer inquiry agents, marketing content engines, internal knowledge bases, training assistants, dashboards, CRM and HubSpot workflows, Make/Zapier/n8n automations, job profitability trackers, and lightweight internal web apps. Every sprint is scoped to the 1–3 builds with the biggest expected ROI for your shop.
No. Most of our clients have messy data — that's part of why they need us. Cleaning and normalizing data is often itself one of the highest-ROI builds in the sprint.
Almost never. We build on top of what you already use — Flex, Current RMS, R2, HubSpot, Salesforce, Google Sheets, Make, Zapier, n8n, whatever your stack looks like. The point is to make your existing systems do more, not to add another platform.
That's normal — and it's our job to figure that out. The diagnosis phase exists exactly for this. You bring the business and the pain points; we bring the map of where AI realistically helps and where it doesn't.
Through a scorecard you and we agree on before we build. It usually mixes time saved, faster quoting, better follow-up, reduced admin work, increased output, improved collections, or better reporting. Whatever metrics make sense for the tools we ship — and whatever your team can actually track.
If, at the end of the 90-day measurement window, we cannot reasonably demonstrate the agreed value against the scorecard, the engagement fee is refundable on terms agreed in writing before work begins. The refund is conditional on your team completing the agreed participation, data-sharing, and usage requirements — those are written into the scorecard so there are no surprises. Specific terms are walked through on the discovery call.
Yes. We sign an NDA before discovery, scope data access to the minimum needed to build, and never use your data to train third-party models. Your customer lists, pricing, and inventory stay yours.
Often, yes. The smaller the company, the more your most senior people are stuck doing manual work. The sprint is a way to get a few hours per week back for a small team — which can be transformational at sub-$3M revenue.
Yes. At $20M+ we typically scope a single department or workflow as the sprint target — sales, dispatch, marketing, or customer support — and use the result as a beachhead for follow-on work.
The tools are yours. We track the scorecard for 90 days and tune what we built. Plenty of clients run a second sprint on the next-highest-ROI opportunity, but there is no obligation, no retainer, and no auto-renewal.
